Driving Instructor Accounting Software: What You Need

Bookaiq is not accounting software. Here is what an instructor needs at tax time, what a booking system should hand your accountant, and how to connect the two.

By Bookaiq team

A lot of instructors search for "driving instructor accounting software" when what they are really missing is a clean record of lessons and money. Let us be precise about what each tool does, because buying the wrong one wastes a year.

Bookaiq is a booking and payments system, not an accounting package. It does not file your BAS, it does not do your depreciation on the car, and it will not replace your accountant. What it does is produce the records your accountant needs, automatically, every time a learner books and pays.

What your accountant actually wants from you

Ask an accountant who works with instructors and the list is short:

  1. Every lesson taught, with date, duration and price.
  2. Every payment received, matched to a lesson or a package, including deposits and refunds.
  3. Cancellation and no-show fees charged, so income is complete.
  4. GST handled consistently, so the same price is not reported two ways.
  5. A way to get all of that out as a file, not screenshots.

Most instructors produce this from a mixture of bank statements, a paper diary and memory. A booking system that records lessons and takes the payment at the same time produces it as a by-product of running the day.

How Bookaiq produces those records

  • Lessons are bookings: each has a service (the lesson type), a start time, a duration, a learner and a status. Completed, cancelled and no-show are distinct, so the "lessons taught" number is real.
  • Payments are taken at booking through Stripe on the Solo plan and above. A deposit, a full payment and a package purchase are all recorded against the booking or the package they belong to. Stripe's own dashboard holds the payout-level detail and processing fees.
  • No-show and late-cancellation fees are set per service and charged under the policy the learner accepted at booking, so they appear with the other income rather than as a mystery line on a statement.
  • GST is simple because Australian pricing is quoted GST-inclusive and billed in AUD through Stripe. The price the learner sees is the price they pay.
  • Export lives in Reports: bookings download as CSV, which is the format every accountant and every spreadsheet already understands.

Getting the data into your accounting app

You have two sensible routes, and neither requires Bookaiq to pretend to be an accounting package.

Route 1: the monthly CSV. Export bookings and payments from Reports at the end of each month and give the file to your accountant, or import it into your accounting app yourself. Ten minutes a month, zero integrations to maintain.

Route 2: Zapier, as it happens. On the Solo plan and above you can send booking events to Zapier, and from there into a spreadsheet, a CRM, an email tool or your accounting app. The Zapier guide lists exactly which booking events fire and how to call Bookaiq from your Zaps. This is the route if you want a live ledger rather than a monthly file.

Neither route makes Bookaiq your accounting system. They make it the honest source of truth for lessons and money, which is the part an accounting package cannot see on its own.

What to set up on day one

  • Give every lesson type its real price, GST included, so reports need no adjusting.
  • Turn on deposits or full payment at booking, so there is no cash to reconcile later.
  • Set a late-cancellation fee under a written policy; the learner accepts it when they book.
  • Connect your own email address for confirmations and receipts, so learners see your business name on every message.
  • Decide on route 1 or route 2 above and write the day of the month you will do it.

Where this fits in the bigger picture

If you are still choosing a booking tool, read what to look for in a driving instructor booking system first; the accounting side follows from getting bookings and payments into one place. If price is the sticking point, the cheapest booking software for driving schools article compares the marketplace, per-payment and flat-subscription models with real numbers.

Nothing in this article is tax advice. Your accountant decides how income is reported; Bookaiq's job is to make sure the records they work from are complete.
