Connecting Zoom to Bookaiq

Add a Zoom meeting link to every online appointment, automatically.

The Zoom integration lets Bookaiq create a real Zoom meeting for every online (video) appointment and include the join link in the confirmation and reminder messages your customers receive. You connect one Zoom account per workspace — there is no copy-pasting of personal meeting-room links, and staff and customers always know where to join.

Before you start

  • You must be an owner or admin of your Bookaiq workspace. Zoom connects at the workspace (organization) level, not per staff member.
  • You need a Zoom account you can sign in to and authorize. Every online Zoom booking in your workspace will be hosted on this account.

How to add (connect) Zoom

  1. Sign in to Bookaiq and go to Settings → Integrations.
  2. Find the Zoom card and open it, then click Connect Zoom.
  3. You’ll be taken to Zoom’s authorization screen. Review the requested permissions and click Allow.
  4. You’ll return to Bookaiq, where the Zoom card now shows “Connected as {your Zoom email}. That’s it — the connection is active.

How to use it

Once Zoom is connected, no further action is needed. Whenever a customer books (or you create) an online / video appointment for a service set to run over Zoom:

  • Bookaiq automatically creates a scheduled Zoom meeting on your connected account for the exact appointment time.
  • The unique join link is included in the booking confirmation and reminder emails (and SMS, where enabled) sent to the customer and the assigned staff member.

Meeting links are generated per booking, so each appointment has its own Zoom meeting.

How to remove (disconnect) Zoom

You can disconnect at any time. New online bookings will simply stop generating Zoom links until you reconnect.

In Bookaiq

  1. Go to Settings → Integrations and open the Zoom card.
  2. Click Disconnect. Bookaiq immediately removes its stored connection and can no longer create meetings on your Zoom account.

In Zoom (optional)

Disconnecting in Bookaiq removes our access. If you also want to revoke the authorization from your Zoom account directly, sign in to the Zoom App Marketplace → Manage → Added Apps, find Bookaiq, and click Remove.

What data we access, and how it’s protected

  • We read your connected Zoom account’s email address, only to display which account is linked.
  • We create scheduled meetings on your account for online bookings. We do not read, store, or access your recordings, chat, other users’ data, or any past meetings.
  • Your Zoom authorization tokens are encrypted at rest and are never shared with any third party or exposed in your browser. The connection is scoped to your workspace only.
