Appointment Scheduling Software for Accountants

Tax season without the email ping-pong: how accountants and bookkeepers use online scheduling for client calls, focus time, paid consults and reminders.

By Bookaiq team

An accounting practice runs on deadlines, and every client call booked by email costs three or four messages before anyone agrees on a time. Between July and October the volume of those messages is its own job. Appointment scheduling software turns the back-and-forth into a link, but the useful part for accountants is the control around that link: which hours are bookable at all, what each call is for, and what it costs.

Protect the work that pays

The first thing most accountants set up is not availability but its opposite. Blocked time in your calendar is invisible to clients, so you can keep mornings for preparation work and offer calls only in the windows you choose. Because Bookaiq syncs with Google and Outlook on every plan, an internal meeting or a client site visit already in your calendar blocks the slot automatically.

Think of the bookable hours as the product. Two afternoons a week of client calls is a perfectly good product, and it is one you can sell confidently when nothing else can land on top of it.

One service per kind of conversation

A practice has recurring call types, and each deserves its own rules:

  • 15-minute intro call โ€” free, for new enquiries, to qualify the engagement.
  • 30-minute check-in โ€” included for existing clients.
  • 60-minute planning review โ€” paid, with the fee or a deposit collected at booking.
  • Year-end meeting โ€” longer, in person or online.

Each is a service in Bookaiq with its own duration, price and location. From the Solo plan a service can carry a price or a deposit, paid by card at booking through Stripe, so a paid discovery call is paid before it starts and the free intro stays free.

Route each client to the right person

In a multi-partner practice, the SMSF questions go to one partner and the trades clients to another. On Bookaiq each service is assigned to the practitioners who take it, so a client booking "SMSF planning review" only sees that partner's availability. The Grow plan adds team scheduling for up to three users and three offices; Pro extends it to five of each.

Collect what you need before the call

The Grow plan's custom client fields let the booking form ask the questions you would otherwise ask by email: entity type, which year, whether the records are in a particular system, what the client wants from the meeting. The answers are attached to the booking, so the first five minutes of the call are not spent collecting them.

Reminders, and clients who reschedule themselves

Email reminders are automatic on every plan. SMS reminders send through your own Twilio or Bird connection. Every confirmation carries a link the client can use to reschedule or cancel within the policy you set, which removes most of the "can we move Thursday" emails from your inbox. From Solo, those emails send from your own practice address.

Let an assistant manage the diary

If you already use Claude or ChatGPT, you can connect either to Bookaiq and ask it to check your availability, find a time for a client, and book, reschedule or cancel an appointment. The AI assistants guide explains the setup and exactly what the assistant can and cannot do.

Keep your data portable

Bookings export as CSV from Reports, and the Pro plan adds an API and webhooks for anything custom. Booking events can also flow to Zapier and on to a spreadsheet or CRM; the Zapier guide lists the events.

A setup that takes an hour

  1. Block the hours you will never offer, and connect the calendar you already use.
  2. Create the four or five call types above, with length, price and online or in-person.
  3. Assign each to the right partners.
  4. Add the intake questions you ask every time.
  5. Put the booking link in your email signature and on your website.

The accountants and bookkeepers page goes deeper, with local pages for Melbourne, London and Toronto. Every plan starts free with no card, and paid plans begin with a 30-day trial.
