Law Firm Appointment Scheduling Without the Phone Tag

How law firms take consultation bookings online: per-lawyer calendars, paid or free consults, intake questions, reminders and a record of every booking.

By Bookaiq team

Most law firm bookings still happen the slow way: a prospective client emails or calls, reception checks two calendars, a time goes back by email, the client replies two days later, and the slot is gone. For a practice billing in six-minute units, scheduling by phone tag is an expensive habit.

Online appointment scheduling fixes the mechanics. The questions worth asking are about control: who can be booked for what, what the client agrees to before they book, what you collect up front, and what record is kept. Here is how Bookaiq answers each.

One booking page, the right lawyer for each matter

A firm is not one calendar. Family law consults go to one partner, conveyancing enquiries to another, and the junior solicitor takes the free 15-minute triage calls.

On Bookaiq each consultation type is a service, and each service is assigned to the lawyers who take it. A client choosing "initial family law consultation" only ever sees the availability of the people qualified for it, and a solicitor is never offered for a matter they do not handle. The Grow plan adds team scheduling for up to three practitioners and three offices, and Pro extends that to five.

Free triage, paid consultations, or both

Many firms offer a short free call to qualify the matter and charge for the substantive consultation. Bookaiq lets you run both from the same page: a 15-minute "initial call" at no charge and a 60-minute "consultation" with a fee or a deposit collected at booking, available from the Solo plan. The client pays by card through Stripe when they book, so the first meeting is never spent chasing payment details.

Ask the intake questions before the meeting

A consultation is more useful when the lawyer already knows the other party's name, the court date, or whether a document exists. On the Grow plan you can add custom client fields to the booking form, so the intake questions you ask on the phone today are answered when the client books.

Terms accepted at booking, and recorded

Firms need clients to accept a cancellation policy and, often, a short set of terms before an appointment. Bookaiq shows your cancellation policy and terms at booking and records the client's acceptance against the booking, so there is no argument later about what was agreed.

Reminders that cut the empty slots

Missed consultations cost a law firm more than most businesses because the time was blocked for a specific person. Email reminders go out automatically on every plan. SMS reminders send through your firm's own Twilio or Bird account. From Solo, confirmations can send from your own firm email address rather than a platform's. If you want a number on what no-shows cost you, the no-show cost calculator takes three inputs.

For clients who cannot come in, the Grow plan's Zoom integration creates the meeting link automatically for any service you mark as online and includes it in the confirmation and reminder. No copy-paste, no "which link was it" on the morning of the call. The Zoom guide covers setup.

The calendar you already use stays in charge

Bookaiq syncs with Google and Outlook on every plan. A court listing in a lawyer's Outlook calendar blocks the slot on the booking page, and a booked consultation appears in Outlook with the client's details.

Security a firm can explain to a client

Client names, matters and payment details deserve more than a shared reception password. Bookaiq supports passkey sign-in and two-factor authentication the firm can enforce for every user. The security page sets out how data is protected and where it is hosted, and the data processing addendum is published for firms that need it in writing.

Setting it up in an afternoon

  1. Create one service per consultation type, with its length, price or deposit, and whether it is online or in person.
  2. Assign each service to the lawyers who take it.
  3. Set working hours per lawyer and connect each calendar.
  4. Paste the cancellation policy and terms the client must accept.
  5. Add intake questions to the booking form.
  6. Put the booking link on the website, in email signatures and on the Google Business Profile.

The law firm page goes deeper, and there are local pages for Sydney, London and New York. Every plan starts free, and paid plans begin with a 30-day trial.
